1) Our production process. 

All SpiderSpider 'brochure' websites are bespoke, and based on initial discussions with the client. We normally visit your premises and discuss in detail what you would like to have included in your website. The content is also based on what most visitors will expect to see in a website of this type. We advise clients on this content, and also how the content will be arranged so that visitors will be able to find it easily. We may also suggest amendments to any text content you provide for the purposes of clarity.

Can clients update their own sites themselves?

- Brochure sites are bespoke and the client cannot update any text or picture content themselves. Our clients normally find it more convenient to send us updates in the form of emails or attachments to emails, which we then reconfigure as technically required, and put them into the site.

- Shopping cart sites use 3rd party software systems (i.e. not owned by SpiderSpider Website Design), and are usually designed and set up initially by SpiderSpider. We do not use our own shopping cart software so you have greater access to the site via your own account log-in, using 3rd party systems. 

After the initial set-up period, clients can add product pictures, descriptions and prices etc if they wish, otherwise we can do it for them. They cannot normally update the overall graphics content and design of the site.


a) Outline content

Standard pages within a website will normally include the following:

Location
Contact us

Plus of course more specific pages to suit your business. e.g. latest projects, current projects, client list, production methods, shopping carts etc.

b) Original design and /or Logo.

Some clients supply their own logos, some request SpiderSpider to design one for them and some don't require one at all. 
Logo design can fall into the category of Corporate Identity Design and can become a design exercise in itself, including headed paper, business cards, and advertising material. This requires a significant amount of work and would not usually be included within a basic website design budget. We would normally discuss this with the client at the outset and negotiate a price for this Corporate Identity Design service.

c) Your domain name.

Your domain name is a totally separate physical and legal entity from the actual website. Quite a few people are under the impression that the domain name and the website are the same thing. They are electronically linked but are actually separate. They can be hosted by the same company, but are still separate items.

SpiderSpider does not host your domain name, we always insist that you have your domain name in an account in your name so it is your property, not ours.
Why do we do this? If a website company buys a domain name for you, in their account, which is quite common, they then actually own the domain name - not you!

If that website company goes bust, you will find it incredibly difficult to then retrieve your domain name. The domain name in many cases is actually more valuable than the website. Any website company could rebuild your site for you, but it won't be much use if your precious domain name is inaccessible for any reason. So we insist that you have the domain name in your own personal account with a domain selling company. We recommend www.easily.co.uk. They are not the cheapest but for many technical reasons we feel they are the preferred choice. We do not have any relationship with Easily Ltd, it is purely a technical choice and makes life easier for us (and you of course).

If you don't have a domain name already, we can carry out a search for a suitable domain name. If required, we can purchase one on your behalf, in an account in your name. The cost of this will be passed on to you immediately.

These can be attached to the proposed website regardless of where it's hosted and who has designed it. You can own any number of domain names, they can all be connected to the same website. 

It is the clients responsibility to renew them after the normal one or two year period. You normally get several reminders prior to the expiry of the domain name(s), and if you go over the due date, you still have 'first refusal' on the name for another (month or so). It is however your responsibility to keep a look out in your email for the notices from your supplier.

If you change your email address, be sure to access your account and update the contact email address otherwise you will not get the reminders. 

d) Your web-site hosting account.

A website hosting account is like a 'parking space' on the Internet. A website will not function without a hosting account. We offer a professional hosting service for a small monthly fee (see prices below) , which has full technical support and compatible with our web-building system, so for us, it speeds up the whole process.

e) Viewing the site prior to completion.

This hosting is provided free of charge for 3 months, or until the site is complete, whichever is sooner. After this period, the hosting fee will be invoiced quarterly. (see prices below).

We also normally put a 'holding page' onto the Internet as soon as possible. see h) holding page below.

 

f) Search Engines and SEO.

SEO stands for Search Engine Optimisation. This is the name given to techniques applied to websites to get them a better listing on the search engines. Many books have been written on SEO and it's a large and complex area. Also the search engines keep 'moving the goalposts' so it's not possible to be too specific here. However our track record at getting our client's sites well listed on Google is good. We provide a free 'onsite' SEO service i.e. the site is optimised using keywords/metatags and other methods. This service does not include 'offsite' services such as article publishing, blogs, and mini-sites etc.

g) Outline Schedule.

A rough schedule will be given to the client at the outset. Historically we can build a website within the client's time scale. In fact any delays tend to be caused by our clients being a bit slow in providing the text and picture content for the site. 

 
h) Holding page.

Holding page - This is important - Whilst the main website is being built, we normally put a one page 'holding page' on the Internet, connected to your domain name(s). This page normally only consists of your company name, a logo if you have one, a message saying something like .. 'Our new website should be ready by (date)... in the meantime please contact us on the details below', plus some contact details.'

The purpose of this is to get a listing on (Google) while the main site is being built. Otherwise, if you wait until the main site is finished, it can then take up to a month or so from that date to get a listing on the search engines. 

There is a misunderstanding with most people that a website will be listed by (Google) as soon as it has been put on the Internet. This is not the case! (Google) relists the entire Internet periodically, and they do not publish when this might occur. A new site will not be included in the (Google) listings until this relisting has been done. So your new site will not be found by typing the name into the (Google) search box until the relisting has occured.

By the time the main site is finished, the holding page will hopefully have been listed, so when the main site is then substituted for the holding page, it is immediately listed in the same place.

i) Links to other web sites

Your site can be linked to and from other sites. Other website owners can put a link to your site, and you put a link to their site in return. This is called reciprocal linking ( 'you scratch my back, I scratch yours..')
For example it may be possible for you to be linked back from other sites featuring compatible or complimentary services or products (not competitors of course). It is up to you to ask another site to put in a link of this type. We cannot do this because we do not have the passwords to enter other sites.

It's a great advantage to have as many links going to your site as possible. However these must now be relevant links, i.e. from similar companies, not just random links from what used to be called 'link farms' i.e. web pages covered in links.

Search engines will give you a better ranking i.e. nearer to page 1,2,or 3 etc, if you have a lot of links taking visitors to your site. However with Google especially, they have to be links from sites in a similar line of business.
It's always worth contacting other site owners and asking them if you can arrange 'reciprocal linking' i.e. you put a link in your site to their site, and vise-versa. We can insert these links on your site but the time consuming process of establishing contact with other site owners and arranging links is best done by yourself. We could do it but would need to charge a fee.

 



2) Budget and payment terms. (summary at the end)

 

j) We discuss the budget with the client and agree for a 'price for the job' for the basic site as specified i.e. number of pages, technical functions, text and picture content etc. This is given to the client as a hard copy document prior to work commencing. All subsequent communications are normally carried out by email.

We then charge a fee per month for hosting and maintenance - billed quarterly. See l) hosting - below.

k) Staged Payments.

We do not charge upfront payments or deposits. The only exception to this might be if we purchase a domain name on behalf of the client (in the clients own account - not ours). This cost may be passed on immediately.

We normally work on a staged payment basis with the overall budget broken down into payments which are in proportion to the work carried out. Work on the site may be postponed if these payments are not made.

The first invoice is submitted after the client has approved the first design draft, and is normally 50% of the budget estimated to that date. At that time, if the client is not happy with the service to date, or the design draft, they can withdraw from the process with no commitment or payment. 

Subsequent payments will be invoiced as the site progresses to the satisfaction of the client. We reserve the right to remove the website from the Internet if payments are not made within a reasonable period of the invoice being submitted, normally 30 days.

If the site develops into a greater level of complexity, and any further payments are required, we will discuss them with the client prior to the work being incurred. This would normally consist of additional pages, large quantities of products, and any sophisticated payment systems.


l) Hosting.

Hosting is like a 'parking space' on the Internet. A website cannot function without a host. We provide hosting for you at 8.00 - 10.00 per month (depending on the nature of the site) billed quarterly, which also makes the production process easier because it is technically compatible with our software, and has a reliable track record.

If you happen to have your own hosting account we may use this, depending on technical considerations, in which case we will not make the hosting charge.

m) Maintenance and minor updates.

Websites need to be checked regularly, you cannot just put a website onto the Internet and forget about it. 
Occasionally 'links' will break and pages will not load. This is normal, no computer system is perfect, and a check needs to be carried out frequently. Sometimes, although infrequently, the site needs to be deleted and completely reloaded. To cover this maintenance, a modest fee of 6.00 -8.00 pm is charged, billed quarterly.
This fee normally also includes modest text updates such as telephone numbers, fax, and email etc. This avoids time consuming invoicing for small amounts of money. Most clients only require occasional minor updates.

n) Major Updates. 

Updates can be carried out when required, these will be charged depending on the size and complexity.
Any updates to the site can be carried out on an item-by-item basis, normally charged at 30.00 per hour.

We can give you an estimate at the time if required. You can email text and picture content to us and we can insert it into the site.

o) Online payment systems (i.e. collecting payment from your clients)

You may need an on-line payment system to take CC payments from customers. The simplest is PayPal. We can set up some 'buttons' to connect your site to your existing PayPal account. More complex payment methods can be accommodated and set up.

p) Free services.

Free - Initial domain name search and suitability advice. 
Free - Temporary hosting on a password-protected account while the site is being built.
Free - Submission to search engines and directories. This will be the free service. See item f) above. - Search engines and SEO)
Free - Basic 'onsite' Search Engine Optimisation techniques, see item f) above.

q) Included within the quoted budget.

All website design and programming as discussed and agreed at initial meetings.
All new sites are 'adaptive' i.e. will expand or contract to fit a large or small screen. Alternatively, if you don't want to rebuild an old site from scratch, we can make a 'mobile' version of your site. This is a summary of the site with larger buttons and text, and designed to be read on a mobile phone. It saves the hassle of having to scroll back and forth, and sideways, to see the whole site. r) Not included in the agreed initial budget.
Domain name purchase, or re-registration after the initial one or two year period. SpiderSpider does not host clients domain names. It is the responsibility of the client to renew their domain names. SpiderSpider will give any assistance required.
Purchasing more domain names if required.
A more sophisticated hosting account which may be needed to accommodate a higher level of functionality.
Fast submission to search engines and directories requiring payment. The normal method is free submission to (Google) which can take from a few days to a month to become listed. See f) and h) above.
Normal regular maintenance and minor updates see m) Maintenance above or major updates - see n) Major updates above. 
Full corporate identity design. 
Content quantity significantly above the content originally agreed. Updates following the completion of the initially budgeted site are charged at 30.00 per hr.
Any costs involved in photographing, capturing or scanning pictures over A4 size. 
Expensive library pictures or commissioned photo shoots.
Travel costs over and above a 50 mile radius of Bath. The first client meeting does not incur any travel costs.

 

 

 

3) Privacy Policy.


SpiderSpider Website Design is committed to ensuring that your privacy is protected. 

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may however use your personal information to send you promotional information about our services.

For the purpose of making an enquiring or placing an order, our website may collect your name and appropriate contact information including email address.

What we do with the information collected.

We may use the information to improve our products and services. We may periodically send you promotional emails about our new products, special offers or other information which we think you may find interesting using the email address which you have provided. From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, fax or mail. 

How we use cookies

A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added and the cookie helps analyse web traffic, for your benefit and ours. Cookies allow web applications to respond to you as an individual. Cookies are not viruses, and have been approved for use by the UK government and other countries.

 

 

4) Security, warranties, and copyright.

Warranties & Limitations Of Liability.
You agree that SpiderSpider Website Design will not be responsible for any losses that may incur where services are accessed by third-parties through illegal or otherwise unauthorized means, including but not limited to situations where data is accessed through the exploitation of security gaps, weaknesses or flaws (whether known or unknown to SpiderSpider at the time). Under no circumstances will SpiderSpider Website Design be liable for any consequential, indirect, incidental, special or punitive damages, or loss of profits, revenue, data or use by client, any of its customers, or of any other third party, whether in an action in contract or tort or strict liability or other legal theory. SpiderSpider Website Design will not be liable to the client, any of its customers, or any other third party, for any loss or damages that result or are alleged to have resulted from the use of or inability to use the services, or that results from mistakes, omissions, interruptions, deletion of files, loss of data, errors, viruses, defects, delays in operations, or transmission or any failure of performance, whether or not limited to acts of God, communications failure, theft, destruction or unauthorized access to SpiderSpider's records, programs, equipment or services.

Payment Security

We never store your credit/debit card information on our website. All electronic transactions you make via the website will be encrypted using SSL technology and will be processed only by the payment gateway used in your site e.g. PayPal, WorldPay etc.

We may request passwords for your (PayPal) account, or any other payment gateway passwords in order to set up payment buttons/connections on your site, but these will not be stored on the site, and we advise you to change them once the site has been set up.

You are responsible for keeping your password and user details confidential.

Of course, data transmission over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet. 

 

Trademarks & Copyrights
The client represents to SpiderSpider Website Design and unconditionally guarantees that any elements of text, graphics, photos, designs, trademarks, or other artwork furnished to SpiderSpider Website Design for inclusion in Web pages or literature are owned by the client, and that the client has permission from the rightful owner to use each of these elements, and will hold harmless, protect, and defend SpiderSpider Website Design from any claim or suit arising from the use of such elements furnished by the client. 

Copyright to the assembled work produced by SpiderSpider Website Design is owned by SpiderSpider Website Design. The rights to the artwork, unless stated, is chargeable under a separate contract. SpiderSpider Website Design reserves the right to reuse any proprietary software, programming functions or code libraries that do not directly pertain to client's design, graphics, text and other copyrighted or protected content.
You may not copy, reproduce, republish, download, post, broadcast or transmit any text, images, graphic, logo, button, icon, image and their selection and arrangement thereof, and any underlying source code and software, for any commercial or public purpose without prior written permission from SpiderSpider Website Design or the copyright holder.

Supply of artwork
The client understands unless stated on our website, or on their invoice, that there will be a charge to supply any copies of artwork including logos, designed by SpiderSpider Website Design. This charge will vary, and be negotiated prior to delivery.
